What Is a Digital Work Order?
A digital work order (electronic work order) replaces the traditional paper-based maintenance work order. Instead of writing the task details on paper, the technician records them in work order software: what they did, how much time they spent, which parts they used, and they attach photos from the site.
The Problems with Paper Work Orders
- It can get lost — the paper gets caught by the wind, soaked in oil, or simply never handed in
- It's illegible — handwriting scrawled next to a machine, in gloves, is impossible to read
- It's not searchable — if you need to look something up 3 months later, you have to dig through a folder
- It's slow — someone carries the paper to the office, where someone else types it in — if they type it in at all
- It's not auditable — a folder full of crumpled paper doesn't look good in a regulatory inspection
The Benefits of a Digital Work Order System
Real-Time Tracking
A work order system shows in real time where each task stands: open, assigned, in progress, closed. Management can see the team's workload immediately, without making a single phone call.
Automatic Assignment and Notification
The system automatically assigns each task to the right technician — based on skills, availability, and location. The technician gets a push notification on their phone.
Mobile Access and Offline Mode
The technician receives and closes the work order on site, from their phone. Offline mode ensures they can record data even without an internet connection — synchronisation happens automatically as soon as there's a signal.
Attaching Photos and Documents
The technician attaches photos of the fault and of the before-and-after condition of the repair. This is useful not just for documentation, but for training and traceability too.
Automatic Maintenance Log
Every closed digital work order automatically goes into the maintenance log — with the date, the person responsible, the work performed, and the parts used. This is immediately available for HACCP, GMP, and EU 2023/1230 audits.
Reports and Analysis
From the work order data, the system produces automatic reports: average repair time, costs per asset, team efficiency. There's no need to total it up in Excel — the work order software does it for you.
